Outlook: How to Access and Use Email Archives (O365 & Netmail)

 

Before You Begin:

  • You need access to your UofL Outlook or Office 365 account.
  • Make sure you are signed in with your university email credentials.

Objective or Task:

Access and use your Online or Personal Archive mailbox in Outlook or Office 365.


Instructions:

Accessing Your Archive Mailbox

  1. Open Outlook 365 or Outlook on the Web.
  2. In the folder list look for your Online Archive or Personal Archive mailbox below your main mailbox folders.
  3. Click the archive mailbox to view its contents.

Moving Messages to the Archive

  1. To move messages to the archive:
    • Drag and drop emails or folders from your primary mailbox to the archive mailbox.
    • Or, right-click the message, select Move then choose your archive mailbox.

Searching for Archived Emails

  1. To search for archived emails:
    • In Outlook enter your search terms in the search bar above your email list.
    • In Outlook on the Web enter your search terms in the search area and click the magnifying glass icon.

Managing Archived Emails

  1. Access and manage archived emails just like your regular mailbox. Messages in the archive are searchable and can be organized into folders.

Outcome:

After completing these steps, you will be able to store, find and manage older emails in your archive mailbox, freeing up space in your primary inbox while keeping important messages accessible.
