How to Add a Service Account Mailbox to Outlook

Add a service account mailbox to your Outlook client or Outlook on the Web.

Instructions

Before You Begin

  • Make sure you have been delegated access to the service account mailbox.
  • Only the owner of the service account can grant delegate access. For instructions, see Accounts – Delegation and Delegate Management.

Add a Service Account Mailbox – Outlook Desktop Application

Classic Outlook

  1. Open the Outlook desktop application.
  2. Click File in the top left corner.
  3. Click Account Settings and select Account Settings from the dropdown menu.
  4. Select your personal University mailbox.
  5. Click Change.
  6. Uncheck Use Cached Exchange Mode to download email to an Outlook data file.
  7. Click More Settings.
  8. Go to the Advanced tab.
  9. Click Add.
  10. Enter the name of the service account mailbox (not the full email address).
  11. Click OK twice.
  12. Click Next, then Done, then Close.

The service account mailbox will appear below your University email.

New Outlook

  1. Open the Outlook desktop application.
  2. Click View at the top of the screen.
  3. Click View settings.
  4. Click Accounts on the left.
  5. Click Email accounts.
  6. Click Add account.
  7. Enter the email address of the service account.
  8. Click Continue.
  9. Click Done when the account is added.

The service account mailbox will appear below your University email.

Add a Service Account Mailbox – Outlook on the Web

  1. Go to outlook.office.com.
  2. Log in with your University email address (userID@louisville.edu) and password if prompted.
  3. Hover over Folder on the left side. Click the three ellipses (...).
  4. Click add shared folder or mailbox.
  5. Enter the full email address of the service account.
  6. Click Add.

The service account mailbox will appear under Folders below your University inbox.

Outcome

The service account mailbox will be visible in your Outlook client or Outlook on the Web, allowing you to manage shared email easily.
