Overview of Service

Provides comprehensive facilities and lab operations support across HSC and BCC, including equipment inventory and contracts, security access, space and office moves, workorder coordination, and capital asset reporting. Prepares and supports laboratories for new and departing PIs, manages large deliveries and physical moves, coordinates emergency response for lab and building issues, and serves as Building Emergency Coordinator. Acts as primary liaison for Physical Plant, Engineering, Perkins, and external vendors to ensure safe, compliant, and efficient research and administrative operations.

Service Details

Core Activities:

  • Keep equipment contracts (add to new database)
  • Set up security access for all BCC employees and students, including summer programs, on HSC
  • Prepare labs for new PI’s, includes setting up their home and lab moves to Louisville, making sure their equipment will fit and have proper electrical outlets, meet the moving trucks, etc.
  • Work with Perkins office on staff/faculty office/lab moves
  • Accept large deliveries and help move to the lab, sometimes help unpack and discard trash
  • Place workorders with Physical Plant, which includes electrical, plumbing, painting, lights, leaks, dishwasher, autoclaves, restrooms, etc. and repairs for all lab locations on HSC
  • Place workorders with Engineering for BCC
  • Surplus workorders and update equipment inventory
  • Get keys for all employees through PP for HSC and BCC Engineering
  • Annual Archibus updates, which now includes Bi-Annual F&A and space surveys
  • Annual Capital Asset Reports, any equipment over $5000 (just found out the list includes items over $1000 and that’s why a lot of the computers are on there)
  • Update the BCC space for our use (drawings, employees in each lab, and cell numbers)
  • Get quotes for new equipment or repairs
  • Keep up with OIS storage (KCP, BCC HR and patient files, Rad Onc files, etc.)
  • Do physical moving when necessary
  • Help labs with equipment and close-out issues when leaving the University
  • Help labs with 24/7 emergency situations (freezers and bldg. issues mainly)
  • BEC (Building Emergency Coordinator) for CTR (Mindy Christian)
  • Meet with Precision Air Technology, Scott Anderson from N.Carolina, for re-certs and repair of hoods (every couple weeks, sometimes days in a row, one full week in July for CTR)
  • Meet with Culligan Water every month for water purification system upgrades (CTR & Gupta)
  • Meet other manufacturer/maintenance companies for equipment repair/upgrades
  • Meet monthly with UPDC (University Planning Design and Construction – Belknap)
  • Meet monthly, sometimes weekly, with HSC Safety Committee (Mindy Christian)
  • Meet monthly with DEHS (Dept. of Environmental Health & Safety) keep up with Stericycle labels and Hazardous Waste for all labs
