2. ITS Infrastructure Cost Allocations - How Are the Rates Calculated?

  1. Starting in FY22/23 university units and departments receive an annual ITS Infrastructure Cost Allocation based on a percentage of their annual budget.
  2. This allocation supports network, Internet, telephones and Microsoft Office365 Suite.
  3. The single charge replaces previous NBI and Microsoft Campus Agreement charges.
  4. The UofL budget office determines allocation amounts for VPs and Deans each year.
  5. Allocations may increase based on service costs, maintenance, and upgrades.
  6. Units and departments implement the allocation as part of the budget process.
  7. Direct questions to your unit business manager or Lead Fiscal Officer (LFO).
  8. Microsoft now assigns licenses to individual users, not by IPEDS data.
  9. All departments are billed through ITS Infrastructure Cost Allocations.
  10. Active sponsored accounts as of July 1 are billed in July; new requests are billed in the month created.
  11. Students are covered based on departmental participation.

3. Are Labs Covered?

  • Yes, any labs in a participating unit or school are covered at no additional cost.

4. Can Only Some Members of a Unit Participate?

  • No, all members of a unit or school are covered in the agreement.

5. What If a Sponsored Account Holder Moves Departments?

  • Your Unit Business Manager (UBM) can initiate an intra-university transfer (IUT) of funds between departments.
