Telephone Quick Reference Guide

Use this guide to quickly reference essential University of Louisville telephone features, including dialing instructions, voicemail setup and access, call forwarding and basic call functions. This guide is for faculty, staff and students who need to efficiently use campus phone services for daily communication.


Before You Begin

  • Have your UofL phone number and credentials ready.
  • For remote access or self-service ensure you have your ULink userID and know your initial phone password.

Quickly access instructions for dialing, voicemail, call forwarding and basic phone functions.


Instructions

Dialing Plan

  1. Dialing Local

    • Dial the 7-digit number.
  2. Dialing Domestic Long Distance

    • Dial 1 + area code + number.
  3. Dialing International

    • Dial 011 + country code + city code + number.
    • Note: A valid ELD code is required for international calls.

Voicemail

Setting Up Voicemail

  1. Press the Messages button.
  2. Enter initial phone password: 12345 followed by #.
  3. From Set Up Options record your name and greeting and change your phone password.
    • Note: Password cannot be your telephone number, repeated digits (e.g. 44444) or a sequence (e.g. 12345).
  4. Follow prompts to complete setup.

Accessing Voicemail

  1. Press the Messages button.
  2. Enter your phone password followed by #.
  3. Follow prompts to access messages.

Accessing Voicemail Remotely

  1. Call 852-3435, then press the * key.
  2. Enter your ID (your 7-digit phone number).
  3. Enter your voicemail security code or PIN.
  4. Follow prompts to access messages.

Voicemail to Email (Single Inbox)

  • Submit a work order requesting Single Inbox setup.
  • Provide your phone number and email userID.

Self Care Portal (Self-Service)

  • Use Chrome browser (VPN required if off-campus).
  • Go to: Self Care Portal
  • Username: your ULink userID
  • Default password: your 7-digit phone number

If you cannot log in, submit a work order with your name, userID and phone number. You will receive an email with login info once access is set up.


Call Forwarding

Set Up Call Forwarding via Self Care Portal

  1. Log in to the Self Care Portal.
  2. Click the Phones tab.
  3. In the left navigation pane, click Call Forwarding.
  4. Click the phone number to set up forwarding.
  5. Check the Forward calls to: box.
  6. Enter the forwarding number in the drop-down list.
  7. Click Save.
    • Note: Do not alter other settings in the portal.

Performing Basic Call Functions

Placing a Call

  1. Pick up the handset or press the Speaker button.
  2. Dial the telephone number.

Answering a Call

  1. Pick up the handset or press the Speaker button.

Managing Multiple Incoming Calls

  1. To answer a new call while on another press the Answer soft key (first caller is placed on hold).
  2. Use the Navigation button to return to the first caller then press Resume.

Placing a Call on Hold

  1. While on a call press the Hold soft key.
  2. To retrieve press Resume.

Transferring a Call

  1. While on a call press the Transfer soft key then dial the third party’s number.
  2. When answered announce the call press Transfer again then hang up.
  3. If busy/unavailable press EndCall, then Resume to return to the first party.

Making a Conference Call

  1. While on a call press More then Confrn soft key.
  2. Dial the second party’s number. When answered press Confrn again.
  3. Repeat to add up to six callers.

Joining Calls to Conference

  1. While on a call highlight another call and press Select.
  2. Press More then Join soft key. Repeat to join all calls.

Sending a Call Directly to Voicemail

  • Press the iDivert soft key.

Forwarding Phone Calls from Your Phone

  1. Press the CFwdALL or Forward all soft key and dial the forwarding number.
  2. To cancel press the CFwdALL or Forward all soft key again.

Outcome

After following these steps you will be able to dial local, long distance, and international numbers, set up and access voicemail, forward calls and perform essential call functions using your University of Louisville phone.
