School of Medicine - Event Technology

The SOM Academic Technology Office provides event technology support for medical school events ranging from small hybrid meetings to large, high-production ceremonies and university-scale programs. Support may include audiovisual setup, microphones, cameras, projectors, presentation support, livestreaming, recording, hybrid meeting configuration, network coordination, and real-time troubleshooting.

The office supports research symposiums, that may involve multiple rooms, separate schedules, varied AV needs, and coordination with several event planners. It also supports major ceremonies and convocations, which often require professional production planning, multiple speakers, stage support, cameras, streaming, and coordination with off-site venues.

Orientation events are supported through presentation management, room setup, breakout session support, and technical coordination designed to help new medical students transition smoothly into the academic environment.

For high-profile events such as inaugurations, the office may serve in a technical director role by coordinating cameras, encoders, livestream graphics, network requirements, communications teams, and external AV vendors.

The office also supports search committee meetings and candidate presentations, including confidential hybrid meetings and larger lectures with Q&A for the university community. Town halls and governance meetings may require support for in-person and virtual participation, question management, archival recording, public viewing, and discretion around sensitive topics or executive sessions. Keynote speaker events often involve hybrid delivery, recording, livestreaming, presenter troubleshooting, and accessibility considerations such as capturing ASL interpreters in the stream or recording.

The office also supports awards programs, student and faculty showcases, donor recognition events, and other special programs that celebrate the academic, professional, and service missions of the School of Medicine. Please fill out the Event Technology Request form to request services.
