Objective or Task

Take action on business process tasks and track the status of Workday business processes.


Instructions

Take Action on a Business Process Task

  1. Open Workday.
  2. Open your Workday Inbox.
  3. Select the task you need to act on.
  4. Select Submit to complete the current step and move the process forward.
  5. Select Save for Later to store your progress and return later.
  6. Select Cancel to stop the process before submission.
  7. Select Approve to authorize the action.
  8. Select Deny to stop the process and reject the request.
  9. Select Add Approvers if additional approvals are needed.
  10. Select Close to exit the task after completing an action.

Use Additional Task Actions

  1. Select Send Back to return the task to a previous step.
  2. Select Delegate to allow another person to perform tasks on your behalf.
  3. Select Delete Incomplete to stop a task that was saved but never submitted.
  4. Select Reassign to permanently move the task to another user.
  5. Select Skip to bypass a task step when available.

View the Status of Business Processes

Use the Workday Archive

  1. Open your Workday Inbox.
  2. Select the Archive tab.
  3. Select a completed or in‑progress item.
  4. Review completed steps, timestamps, and users involved.
  5. Review remaining steps listed as In Progress or Not Started.

Use Business Process Transaction Tracking

  1. Open Workday.
  2. Enter RPT040 Business Process Transaction Tracking in the search bar.
  3. Select the report.
  4. Select the Business Process to track.
  5. Select the Transaction Status.
  6. Select OK to run the report.
  7. Select a chart bar or table value to view detailed results.

Outcome

You can successfully manage Workday business process tasks, take appropriate actions, and monitor the status of transactions through the Inbox, Archive, and reporting tools.
