Objective or Task
Create, route, and complete an Employment Agreement in Workday so a candidate can review and electronically sign an offer of employment.
Before You Begin
- You have access to Workday as a Primary Recruiter.
- The job requisition is approved and the candidate is in the Employment Agreement stage.
- Compensation and position details are confirmed on the job requisition.
Instructions
Access the Employment Agreement Task
- Open the Recruiter Hub in Workday.
- Select the Candidates tab to view active candidates.
- Select the Employment Agreement stage.
- Select Open next to the candidate listed under Awaiting Me.
Create the Employment Agreement

Review the Create Employment Agreement for Employee page.

Enter the Planned Hire Date in the Start section.

Complete the Contract section if this is a faculty offer.

Review the Probation Period and leave the default values unchanged.

Review the Compensation section and adjust values if needed.

Update Default Weekly Hours if scheduled hours exceed 37.5.

Select Next to continue.

Add a One-Time Payment if applicable.

Review the Attachments section.

Add required documents for academic offers.

Select Submit.
Complete Approval Routing
- Complete the faculty questionnaire if prompted.
- Allow the Employment Executive to review the agreement.
- Allow Compensation or Academic HR Executives to review if applicable.
- Allow the HR Partner or Academic HR Partner to complete their review.
- Allow dean or vice dean approval for faculty offers when required.
Extend and Sign the Offer
- Complete the To Do task to extend a verbal offer to the candidate.
- Select Submit once the verbal offer is confirmed.
- Review the generated offer letter for accuracy.
- Complete any required fields and select Submit.
- Sign the document using eSign by Adobe Sign when prompted.
- Allow the candidate to review and sign the offer electronically.
Complete Post-Acceptance Steps
- Allow external candidates to complete onboarding tasks after acceptance.
- Complete the background check costing questionnaire when assigned.
- Monitor candidate progress as the Employment Executive moves the candidate to Background Check.
- Confirm the candidate is moved to Ready for Hire after all requirements are complete.
Outcome
The candidate successfully receives, signs, and accepts the Employment Agreement, allowing the hiring process to proceed to onboarding and hiring completion.
