Objective or Task

Complete the required steps to appoint a Postdoctoral Fellow using the updated Postdoctoral appointment process.


Instructions

  1. The Supervisor or delegate submits the approved Postdoctoral Approval Form.

    • Use the approved form and letter of offer template provided by Postdoctoral Services.
    • Submission routes automatically to the Research Office for review.
  2. After approval, the department receives an email notification confirming the appointment and providing the finalized offer letter.

  3. Provide the approved offer letter to the candidate and obtain written acceptance.

  4. Email HR Employment to initiate the appointment.

    • Include the signed offer letter and the candidate’s curriculum vitae.
    • The request must be submitted no sooner than 90 days and at least 30 days prior to the appointment start date.
    • Departments no longer initiate Postdoc appointments directly in Workday.
  5. Obtain proof of Ph.D. completion and submit documentation before the start date.

    • Acceptable documentation includes an official transcript or a letter from the issuing institution.
  6. Complete all required steps with International Services if the Postdoctoral Fellow requires a visa.

    • This includes coordination for J‑1 visa processing, if applicable.
  7. HR Employment completes the background check and appointment processing.

    • Once complete, the Postdoctoral Fellow is added to the New Employee Orientation roster.
  8. The department completes any additional onboarding not covered through New Employee Orientation.

    • Examples include laboratory onboarding or unit‑specific requirements.
  9. Complete an Individual Development Plan with the Postdoctoral Fellow after arrival.

    • Submit the completed plan to Postdoctoral Services as required.

Outcome

The Postdoctoral Fellow is successfully appointed, cleared through HR Employment, added to the New Employee Orientation roster, and fully onboarded in compliance with updated Postdoctoral appointment requirements.
