Objective or Task

Contract a contingent worker in Workday.


Instructions

  1. Gather the required information for the contingent worker:

    • Date of Birth
    • U.S. Citizenship Status
    • Legal Sex
  2. From the Workday landing page, enter Contract Contingent Worker in the search bar and select the task.

  3. On the Contract Contingent Worker page, search for an existing pre‑hire to prevent duplicate records.

    • Enter available contact information such as name, email address, or phone number.
    • If an existing pre‑hire is found, select the record, select Start Contract, and continue to Step 6.
  4. If the contingent worker does not exist as a pre‑hire, select Create New Pre‑Hire.

    • Enter Country, First Name, and Last Name under Legal Name Information.
    • Add at least one form of Contact Information such as address, phone number, or email.
  5. In Details, enter the Supervisory Organization.

    • All contingent workers must be hired into a JM Supervisory Organization.
    • If the appropriate JM organization does not exist, request creation before proceeding.
  6. Enter the Contract Start Date and select a Reason.

  7. Under Job Details, enter the following:

    • Contingent Worker Type
    • Job Profile
    • Time Type
    • Location
  8. Under Contract Details, complete all required fields.

    • If the worker is an independent contractor, select the checkbox and enter:
      • Supplier
      • Default Payment Terms
      • Contract End Date
      • Contract Pay Rate
      • Currency
      • Payment Frequency
      • Assignment Details
    • For temporary workers, set the contract end date to six months after the start date.
  9. Under Working Time, enter Scheduled Weekly Hours.

    • If hours vary or are unknown, leave the default value of 37.5.
  10. In Comments, enter the contingent worker’s Date of Birth, Citizenship Status, and Legal Sex.

    • This information is required for the process to complete successfully.
  11. In Attachments, add the required contingent worker contract.

    • Use the category Contingent Worker Contract for gratis contingent workers.
  12. Select Submit to route the contract for approval.


Outcome

The contingent worker is contracted in Workday, routed through the appropriate approval process, and granted system access based on the approved contract.
