Hire a student employee in Workday.


Instructions

  1. Confirm that a JM Supervisory Organization exists for the student’s manager.

    • Students must be hired into JM supervisory organizations.
  2. From the Workday landing page, enter Hire Student in the search bar and select the Hire Student Report.

  3. In the Hire Student window, enter the student name and select the appropriate JM Supervisory Organization.

  4. Select OK.

  5. On the Hire Student page, review the student’s work eligibility and employment status.

    • Select Hire if the student is not currently employed.
    • Select Add Job if the student already has an active job in Workday.
  6. Enter the required student employment details:

    • Hire Date or Effective Date
    • Reason
    • Employee Type
    • Job Profile
    • Time Type
    • Location
    • Work Space
    • Job Title and Business Title
    • Scheduled Weekly Hours
    • End Employment Date
  7. Review the information and select Submit.

  8. Review the default costing organization and update it if a different organization will pay the student worker.

  9. Select Submit.

  10. Update student compensation details, if applicable.

    • Expand Additional Details.
    • Enter an Actual End Date that matches the Employment End Date.
  11. Select Submit.

  12. Complete the questionnaire regarding the student’s social security card status.

  13. Select Submit to complete the student hire.


Outcome

The student employee is successfully hired in Workday with the correct job, costing, compensation, and employment dates applied.
