Phones: How to Set Up and Use Voicemail
Before You Begin
- Make sure you have a UofL phone number and access to a supported device (desk phone or Webex app).
- Have your UofL credentials ready.
- Confirm your phone service is active.
- Your temporary voicemail password is 12345. You must change it after your first login.
- If your voicemail box is reset, your temporary password will be 123212.

Download and Install the Webex Client
- Go to the UofL Webex Installation Guide.
- Go to Webex and select your operating system: Windows, Mac, iOS or Android.
- Click the appropriate download link for your device.
- Follow the on-screen instructions to install the Webex app.
- After installation open the Webex app and sign in using your UofL credentials.

Access Voicemail Setup
- In the Webex app select the Voicemail option from the main menu.
- If using a desk phone press the Voicemail button.
- Enter your temporary password (12345) and follow prompts to change it.

Change Your Voicemail Password (PIN)
- Access your voicemail using your desk phone, Webex app or by calling 852-3435 from off-campus.
- Enter your current password or PIN.
- From the main voicemail menu select the option for Settings or Personal Options (often by pressing 4).
- Choose Change PIN or Change Password (usually option 3).
- Enter your new PIN/password and confirm it when prompted.
- Save your changes and exit the menu.

Record Your Greeting
- Follow the prompts to record a personal greeting.
- Press the indicated key to save your greeting.

Check Voicemail Messages
- In the Webex app tap Voicemail to view new messages.
- On a desk phone press the Voicemail button and enter your PIN.
- To access voicemail from off-campus call 852-3435 press the * key enter your 7-digit phone number as your ID then your voicemail PIN.

Forward Voicemail to Email (Single Inbox)
- To have voicemail forwarded to your email submit a work order requesting Single Inbox setup.
- Provide your office phone number and UofL userID in the request.
- Once set up you can listen to voicemail anywhere you access your email.

Forward Calls to Another Device
- On your phone, press the CFwdALL or Forward all button and enter the number to forward calls.
- To set up call forwarding remotely, request access to the Self Care Portal via a work order (include your name, UofL userID, and office phone number).
- When access is granted go to Self Care Portal log in with your userID and assigned password.
- Click the Phones tab, then Call Forwarding in the left pane.
- Select your phone number check Forward calls to enter the forwarding number and click Save.
- Note: Do not alter other settings in the portal.

Forwarding Voicemail Messages
- You may only forward voicemail messages to other Unity system users.
- You cannot forward voicemail messages to MemoryCall (BellSouth voicemail system) users.
Outcome
After completing these steps you will be able to receive, listen to and manage voicemail messages on your University of Louisville phone line using the Webex app, your desk phone or remote access. You can also change your voicemail password, forward voicemail to your email and set up call forwarding to another device.
