Request a Security Change for Academic Units

Summary

You will use this article to request a Workday security role change for an academic unit. This process is used when access needs to be added or removed so employees can properly support, view, or perform academic-related functions within Workday.

Objective or Task

Request the addition or removal of Workday security roles assigned to an academic unit.


Before You Begin

  • Confirm you are an HR Initiator, HR Partner, or Budget Manager, as only these roles can submit the request.
  • Discuss the required access with the manager and Budget Manager (Lead Fiscal Officer).
  • Identify the security role(s) to add or remove.
  • Identify the topmost academic unit, including the full name and organization ID if available.
  • Identify the employee’s full name and employee ID.
  • Determine the effective date for the security change.

Instructions

  1. From the Workday landing page, enter Create Request in the search bar and select the task.
  2. In the Request Type field, select All > Security Change Request for Academic Units.
  3. Select OK to open the request form.
  4. Complete the required fields in the form.
    a. Provide the business justification for the security change.
    b. Enter the effective date for when the change should take effect.
    c. Enter the topmost academic unit name and organization ID.
    d. Enter the employee’s full name and employee ID.
    e. Select whether you need to add or remove security role assignments.
    f. Select the academic groups to be added or removed.
    g. Indicate whether other employees must retain this role and provide details if required.
  5. Add any comments or attachments that support the request.
  6. Select Submit to route the request to the appropriate approvers.

Outcome

Your academic unit security change request routes for approval. Once approved, the employee’s Workday security access updates based on the selected roles, academic unit, and effective date.
