Faculty Term to Tenure Track Academic Appt Change

This article explains how Academic HR Partners update a faculty member’s academic appointment in Workday after the faculty member has moved from a Term faculty job to a Tenured or Tenure Track position. This process is completed only after the job change process is fully approved.

Update a faculty member’s academic appointment from Term to Tenured or Tenure Track in Workday.


Instructions

  1. Confirm the faculty member’s job change to a tenured or tenure‑track position has been fully completed and approved in Workday.

  2. Open the notification or task to add a new academic appointment for the faculty member.

  3. Add the new academic appointment with the following selections:

    • Track Type set to Tenured or Tenure Track
    • Identifier set to Primary
    • Verify the academic unit and employment position are correct.
  4. Submit the new academic appointment and wait for all approvals to complete.

  5. After approval, search for the faculty member and open the Worker Profile.

  6. Select the Academic tab from the left‑hand navigation.

  7. Open the Current Appointments section.

  8. Review the list of current appointments.

    • You should see two primary appointments:
      • The original Term appointment
      • The new Tenured or Tenure Track appointment
  9. Locate the original Term academic appointment and select End Track.

  10. Enter the following for the term appointment:

    • End Date set to one day before the effective date of the new tenure or tenure‑track appointment
    • Reason set to End of Appointment
  11. Submit the update.


Outcome

The faculty member’s academic appointment is updated to reflect the correct Tenured or Tenure Track status, with the prior term appointment ended and only the current appointment remaining active in Workday.
