Hire a house staff member in Workday using the stipend appointment process.


Instructions

  1. From the Workday landing page, enter Hire Employee in the search bar and select the task.

  2. Enter the employee’s First Name and Last Name, then select Search.

    • If a pre‑hire already exists, include the employee’s email address in the search to locate the record.
  3. If an existing pre‑hire appears:

    • Select the employee.
    • Select Start Hire.
    • Skip to Step 5.
  4. If no pre‑hire exists:

    • Select Create New Pre‑Hire.
    • Confirm the Legal Name Information.
    • Open Contact Information and add at least one contact method, preferably an email address.
    • Select OK.
  5. In Supervisory Organization, enter the manager the employee will report to.

    • Ensure the correct supervisory organization type is selected.
    • House staff trainees require a JM supervisory organization.
  6. Enter the Hire Date and select the appropriate Reason.

  7. In Employee Type, select House Staff / Fellows.

  8. In Job Profile, select the appropriate option:

    • House Staff Non‑Step for salaried house staff
    • House Staff Stipend for house staff paid through stipend
  9. Complete the remaining required fields:

    • Time Type
    • Location
  10. Continue through the hire process as prompted.

    • The hire will route through approvals.
    • A criminal background check process will be initiated automatically.

Outcome

The house staff member is successfully hired in Workday with the correct employee type and stipend job profile, enabling payment through Period Activity Pay and proper tracking within Graduate Medical Education.
