This article explains how HR Initiators can use the Job Change process in Workday to transfer a student or temporary worker to a new job. This process moves the worker to a different job profile or funding source without requiring a termination and rehire.

Objective or Task

Transfer a student or temporary worker to a new job in Workday.


Instructions

  1. From the Workday landing page, enter Start Job Change in the search bar.

    • Alternatively, open the worker profile, select Job Change, then select Start Job Change.
  2. In the Start Job Change prompt:

    • Enter the Worker name.
    • In What do you want to do?, select Transfer to a New Job.
    • Select OK.
  3. In the Start section, enter:

    • When do you want this change to take effect?
    • Indicate whether the change should use the next pay period, if applicable.
  4. Select Start to begin the transfer.

  5. Update the following job details as needed:

    • Job Profile to reflect the new role
    • Business Title to describe the work performed or unit
  6. Update additional fields if applicable:

    • Work Space
    • Scheduled Weekly Hours
    • End Employment Date
  7. In Costing, enter the organization or speedtype that will fund the new job.

  8. In Compensation, update pay details based on how the worker is paid:

    • Edit Salary or Hourly compensation.
    • Update the Amount, Amount Change, or Percent Change as needed.
    • Ensure Actual End Date matches the employment end date for fixed‑term workers.
    • Use Expected End Date for reporting upcoming compensation end dates.
  9. Enter any supporting information in Comments.

  10. Review all updates and select Submit to route the job change for approval.


Outcome

The student or temporary worker is transferred to a new job in Workday with updated job profile, costing, and compensation, and the change is routed through the appropriate approval workflow.
