This article explains how HR Initiators and HR Partners can update an existing academic appointment in Workday. Academic appointments track a faculty member’s academic rank and track type, and updates may occur as a standalone action or as part of a job change process.

Objective or Task

Update an existing academic appointment for a faculty member in Workday.


Instructions

  1. From the Workday landing page, enter Update Academic Appointment in the search bar.

    • If the update is part of a job change process, locate the task in your Workday Inbox.
  2. Enter the Academic Appointee name.

  3. Select the Track that requires updating.

  4. Enter the Start Date that reflects when the update takes effect.

  5. Select OK.

  6. In the Appointment Information section, update the following as applicable:

    • Reason for the update
    • Rank
    • Title
    • End Date, if applicable
    • Identifier
  7. If the appointment is tenure‑eligible, review the Tenure Information section and update it as needed.

  8. Under Attachments, upload supporting documentation and assign Academic Appointments as the category.

    • Attachments may include offer letters, renewal documentation, or reappointment materials.
  9. Select Submit to route the update for approval.

  10. If a To Do action appears in your Workday Inbox, open the item and select Submit to complete the task and clear it from the inbox.


Outcome

The academic appointment is updated in Workday and routed through the appropriate approval process with revised appointment details applied.
