Termination Voluntary

Summary

This article explains how HR Initiators can process a voluntary termination in Workday when an employee resigns or retires. Voluntary terminations may be future dated and will not be visible to the employee before the effective date.

Objective or Task

Process a voluntary termination for an employee in Workday.


Instructions

  1. From the Workday landing page, enter Terminate Employee in the search bar and select the task.

  2. Enter the Employee name and select OK.

  3. In the Reason section, select the appropriate Primary Reason from the Voluntary options.

    • Add one or more Secondary Reasons if applicable.
  4. In the Details section, enter the Termination Date, which represents the last day the employee will receive pay.

    • Termination dates may be future dated.
  5. Review the automatically populated Last Day of Work and Pay Through Date fields.

  6. Enter a Resignation Date, if applicable.

  7. In the Position Details section, select the appropriate options:

    • Select Close Position if the position will not be filled again.
    • Select Is this position available for overlap? if a replacement will be hired before the employee leaves.
  8. Under Attachments, upload a resignation letter or other voluntary termination documentation and assign Termination as the category.

  9. Select Submit to route the termination for approval.


Outcome

The voluntary termination is submitted in Workday, future dated if applicable, and routed through the appropriate approval process with supporting documentation attached.
