This article explains how HR Initiators and HR Partners can use the Job Change process in Workday to update an employee’s full‑time equivalency (FTE) by adjusting scheduled weekly hours or time type.

Objective or Task

Change an employee’s FTE in Workday.


Instructions

  1. From the Workday landing page, enter Start Job Change in the search bar and select the task.

    • Alternatively, open the employee profile, select Related Actions, select Job Change, and then select Start Job Change.
  2. In the Start Job Change prompt, confirm or enter the employee name in the worker field.

  3. In What do you want to do?, select the appropriate reason for the FTE change and select OK.

    • Select Data Change: Involuntary FTE Change for a reduction in force.
    • Select Data Change: Voluntary FTE Change for a change in scheduled hours only.
    • Select Absence Related FTE Change for an FTE change related to an absence.
  4. In the Start section, enter the following:

    • When do you want this change to take effect?
    • Why are you making this change?
    • Do you want to use the next pay period?
  5. Select Start to begin the FTE job change.

  6. Update Scheduled Weekly Hours to reflect the new weekly hours.

  7. Update Time Type if the employee is changing from full time to part time or from part time to full time.

  8. Leave all other fields unchanged.

  9. Enter details in the Comments section to support the FTE change.

  10. Review your updates and select Submit to route the change for approval.


Outcome

The employee’s FTE is updated in Workday and routed through the approval process with revised scheduled hours and time type applied.
