This article explains how you create an evergreen job requisition in Workday to continuously recruit for seasonal, high‑volume, or hard‑to‑fill positions. You should use this process if you are a Primary Recruiter responsible for managing ongoing candidate pools and moving selected candidates to a regular job requisition when ready to hire.

Objective or Task

Create an evergreen job requisition in Workday and manage candidates until a regular job requisition is created for hire.


Before You Begin

  • You have access to Workday as a Primary Recruiter.
  • You know the Supervisory Organization for the position.
  • Job details and required documentation are available.
  • The position is suitable for continuous recruiting, such as Part‑Time Lecturers.

Instructions

Create the Evergreen Job Requisition

  1. From the Workday landing page, enter Create Evergreen Requisition in the search bar.
  2. Complete the Create Evergreen Requisition prompt.
    • Select the appropriate Supervisory Organization.
    • Leave Worker Type set to Employee.
  3. Select OK.

Enter Requisition Details

  1. Select the pencil icon to enter Recruiting Information.

  2. Complete the Recruiting Information and Job sections.

    • Enter required job details and requirements.
    • Enter a Location.
    • Complete Contract Details for faculty requisitions.
  3. Complete additional sections as needed.

    • Review or enter Qualifications.
    • Confirm Organizations and costing.
    • Upload required documents in Attachments.
    • Assign Primary Recruiter roles.

Submit and Route for Approval

  1. Review all details on the Summary page.

  2. Enter additional information in Comments as needed.

  3. Select Submit to begin the approval process.

  4. Open Edit Additional Data from your inbox.

  5. Enter the Costing Organization for job advertising.

  6. Select Submit to route the requisition for review and approval.


Manage Evergreen Candidates

  1. Regularly review the evergreen requisition for new applicants and hiring manager feedback.
  2. Complete reference checks when applicable.
  3. Disposition candidates who are not selected.

Move a Candidate to a Regular Job Requisition

  1. When a preferred candidate is identified, take action on the evergreen requisition to Copy it To Create Job Requisition.

  2. Update Posting Instructions to Posting Not Required – Linked to Evergreen.

  3. Select OK to create the new job requisition.

  4. Return to the evergreen requisition.

  5. Select the preferred candidate.

  6. Select More and then Move to Linked Job Requisition.

  7. Select the new job requisition you created.

  8. Open the new job requisition to confirm the candidate is linked.

  9. Continue the hiring process using Employment Agreement steps.


Outcome

The evergreen job requisition is created and approved, allowing continuous recruiting, and selected candidates are successfully moved to a regular job requisition for hiring.
