Accounts: How to Renew Service Accounts and Sponsored Accounts

Summary

Renew your service or sponsored account using Identity Access Management portal to maintain access. Service accounts require renewal every 12 months, and sponsored accounts every 180 days. Only the owners and managers of these accounts can complete this process using their personal University account.

Before You Begin

  • You must be the owner or manager of the service account or sponsored account to renew the account.
  • Log into the Identity Access Management portal with your personal University user ID and password, not the service account or sponsored account user ID or password.

Renew a service account or sponsored account through the Identity Access Management portal.

Instructions

Renew a Service Account

  1. Go to https://identity.louisville.edu.
  2. Enter your user ID and click NEXT.
  3. Enter your password and click NEXT.
  4. Click the REQUESTS tab.
  5. Click the CHANGE ACCESS tab.
  6. In Step 2, select By User.
  7. Search for the service account by user ID.
  8. Select the account (called “Resources” in the system) using the checkboxes.
    • To select all, click the checkbox next to Resource Name.
  9. Click DONE.
  10. In Step 3, enter the new access period end date (up to 12 months from today).
    • The renewal period starts from the day you submit the request, not the current expiration date. (For example, if you renew a service account on 06/01/2026 for 12 months and the account expires on 07/31/2026, the new expiration date for the account is 06/01/2027, not 07/31/2027.)
  11. In Step 4, enter comments in the comment box.
  12. Click SUBMIT REQUEST.
  13. Look for a confirmation message on the screen.
  14. Check your email for confirmation when the renewal is complete.

Renew a Sponsored Account

  1. Go to https://identity.louisville.edu.
  2. Enter your user ID and click NEXT.
  3. Enter your password and click NEXT.
  4. Click the REQUESTS tab.
  5. Click the CHANGE ACCESS tab.
  6. In Step 2, select By User.
  7. Search for the sponsored account by first name, last name, or user ID.
  8. Select the account (called “resources” in the system) using the checkboxes.
    • To select all, click the checkbox next to Resource Name.
    • You may see other resources like VPN or Blackboard.
  9. Click DONE.
  10. In Step 3, enter the new access period end date (up to 180 days from today).
    • The renewal period starts from the day you submit the request, not the current expiration date. For example, if you renew a sponsored account on 06/01/2026 for 6 months and the account expires on 07/31/2026, the new expiration date for the account is 12/01/2026, not 01/31/2026.
  11. In Step 4, enter comments in the comment box.
  12. Click SUBMIT REQUEST.
  13. Look for a confirmation message on the screen.
  14. Check your email for confirmation when the renewal is complete. The sponsored user will also receive an email.

Outcome

After completing these steps, your service or sponsored account will be renewed for the selected period. You and, for sponsored accounts, the sponsored user will receive email confirmation.
